Logging leads from WhatsApp into HubSpot without copy and paste

By , updated 5 min read

For a lot of founders, consultants and salespeople, WhatsApp is where business conversations actually happen. Someone gets introduced in a group, a prospect sends a voice note after a meeting, a friend shares a contact who "you really should talk to". Very little of that passes through email, so very little of it ends up in HubSpot on its own.

This post looks at where WhatsApp leads come from, why they slip through, and the practical options for getting them into HubSpot without copying and pasting between apps.

Where WhatsApp leads come from

It helps to name the patterns, because each one needs a slightly different capture.

  • Introductions. "You two should meet" messages in a group or a three-way chat. The lead is the person being introduced, and the context is in the introducer's message.
  • Shared contacts. Someone sends you a contact card from their phone's address book. WhatsApp lets you share contacts from your address book straight into a chat.1
  • Follow-ups after meeting in person. You met at an event, swapped numbers, and the conversation continued on WhatsApp.
  • Inbound messages. Someone found you through a referral or your website and messaged you directly.

In all four, the details you need for HubSpot (name, company, role, what they want, when to follow up) are spread across a chat, a profile picture and your memory.

Why they go missing

The reasons are mostly practical.

  • Switching apps is slow on a phone. Creating a contact properly in HubSpot means searching for the company, creating it if it is new, creating the contact, associating them, adding a note and setting a task. That is a lot of tapping between meetings.
  • The chat feels like the record. Because the conversation is right there in WhatsApp, it feels as if nothing will be lost. Then the chat scrolls away, or you change phone.
  • Nobody else can see it. A lead that only exists in your WhatsApp is invisible to colleagues, to reporting and to your own pipeline review.

Four ways to get WhatsApp leads into HubSpot

1. Manual entry, done straight away

The simplest option costs nothing extra: when a lead arrives, open the HubSpot mobile app and create the contact there and then. It works if leads are occasional and you are disciplined about it.

To make it faster:

  • Create the company first, so the contact associates cleanly.
  • Paste the relevant part of the chat into a note, rather than retyping it.
  • Always set a task before you close the record, even if it is "decide whether to follow up".

The weakness is the one above: it takes several minutes per lead, and it is the first thing to slip on a busy day.

2. Copy and paste in batches

Many people end up here by default: once a week, scroll back through WhatsApp and log the week's leads from a laptop. It is faster per lead than doing it on a phone, but you lose the moment. Context is thinner, follow-ups are later, and anything from the start of the week is a week old by the time it lands.

If you work this way, a "WhatsApp leads" chat with yourself, where you forward or note each lead as it happens, makes the weekly batch much quicker and less likely to miss anyone.

3. A shared business inbox

If your business talks to customers on WhatsApp at scale, a shared inbox connected to the WhatsApp Business Platform lets a team handle conversations together and link them to CRM records. This is the right tool for customer service and inbound sales teams. It is more than most individuals need for logging the people they meet, and it means moving your business conversations to a business number.

4. Send the lead to a bot that writes to HubSpot

The fourth option keeps WhatsApp as it is and adds one step: forward or send the lead to a bot that does the HubSpot work for you. This is the approach we took with Shmor.

In practice it looks like this:

  1. Screenshot the lead in WhatsApp: the introduction, the shared contact, their profile or a photo of their business card. Send the screenshot to the Shmor bot on Telegram.
  2. Add a line of context if the message does not already say it: "wants pricing, follow up Friday".
  3. Shmor reads it and checks HubSpot first: the company by domain and name, the person by email, LinkedIn URL, and name and company, so it updates existing records instead of duplicating them.
  4. HubSpot gets the records: the contact and company, associated, with Met via and Met at filled in, a note on the timeline and a task due on the date you gave.
  5. The bot replies on Telegram with what was saved, and buttons for anything missing, such as how you met.

Shmor only sees what you send to the bot. It has no access to your WhatsApp chats, so nothing is logged unless you choose to send it.

If the lead arrived by email instead, forward the email to in@emails.useshmor.com from your account email and the same steps happen, with the reply in the same email thread.

Whichever option you choose, keep these habits

  • Log within the hour. The note you write straight after a conversation is better than any you will write later.
  • Record where the lead came from. A "met via" or "source" property, filled in consistently, is what lets you see later which introductions and events produce work.
  • Always leave a next step. A contact with no task is a contact you will forget. If there is genuinely nothing to do, make that a deliberate choice.
  • Keep WhatsApp and HubSpot roles clear. WhatsApp is for the conversation. HubSpot is the record of the relationship. Copy the facts that matter across; leave the chat where it is.

A note on personal data

Adding a lead to HubSpot means you are keeping their personal data, so treat it the way the law expects: keep what you need, keep it accurate, and be ready to tell people what you hold if they ask. In the UK, legitimate interests is often the lawful basis for keeping business contacts you have a genuine relationship with.2 Personal follow-ups are one thing; if you want to add WhatsApp leads to marketing campaigns, check the electronic marketing rules first.

Common questions

Can I use Shmor on WhatsApp today?

Not yet. Shmor on WhatsApp is coming soon and cannot be linked. Today, screenshot the lead in WhatsApp and send it to the Shmor bot on Telegram, or forward an email to in@emails.useshmor.com.

Does Shmor read my WhatsApp chats?

No. Shmor only sees what you send to it yourself. It has no access to your WhatsApp account or chats.

Will a WhatsApp lead create a duplicate in HubSpot?

Shmor checks HubSpot first: companies by domain and then name, people by email, then LinkedIn URL, then name and company. If it finds a match, it updates that record instead of creating a new one.
