How to connect HubSpot to Shmor with a service key

By 3 min read

Shmor writes the people you meet into HubSpot as contacts and companies, associated, with a note, a follow-up task and, on Pro, a deal. The quickest way to connect it is a HubSpot service key: a key you create in your own portal with only the scopes Shmor needs.

Before you start

  • HubSpot lets Super admins, and users with the Developer tools access permission, create service keys.1
  • You need a Shmor account. Connecting HubSpot switches new captures from ShmorCRM (the built-in micro-CRM) to HubSpot.

Step 1: create the service key

  1. In HubSpot, go to Development, then Keys, then Service keys.
  2. Click Create service key and name it Shmor.1

Step 2: add these scopes

Click Add new scope and tick each of these:1

ScopeWhy Shmor needs it
crm.objects.contacts.read, crm.objects.contacts.writeFind, create and update contacts
crm.objects.companies.read, crm.objects.companies.writeFind, create and associate companies
crm.objects.deals.read, crm.objects.deals.writeCreate deals on Pro
crm.objects.owners.readAssign tasks and deals to you
crm.schemas.contacts.read, crm.schemas.contacts.writeAdd the Shmor property group and its properties
crm.schemas.deals.readRead your deal pipelines and stages

Create the key, click Show, then Copy.

A legacy private app token works too, if your portal already uses private apps. Give it the same scopes.2

Step 3: paste it into Shmor

  1. In Shmor, open Integrations (or the Choose your CRM step of set-up).
  2. On the HubSpot card, open Connect with an access key.
  3. Paste the key into HubSpot access key and connect.

Shmor checks the key and creates its properties before saving, so a key that does not work never replaces a connection that does.

Step 4: check the Shmor property group

In HubSpot, open your contact properties.3 You will find a group called Shmor with:

  • Met via: a dropdown with Networking event, Conference, Intro, Inbound, Online and Other;
  • Met at: text, such as the event name or who introduced you;
  • Needs info: checkboxes (How we met, Follow-up) that Shmor ticks while it waits for your answer, and clears when you reply.

Use Met via and Met at in lists and reports to see where relationships start.

Step 5: send a test capture

Send a card photo or a profile screenshot to the bot on Telegram, or forward an email, with "follow up next Tuesday about pricing". In HubSpot you should see:

  • the company, found by domain then by exact name, or created;
  • the contact, found by email, then LinkedIn URL, then name and company, and associated with the company;
  • a note on the contact's timeline;
  • a to-do task due next Tuesday, assigned to you.4

Two HubSpot limits to know: only the first email address is written, because the API does not let apps set additional emails, and only two phone numbers fit (phone and mobile phone).

Signing in with HubSpot instead

Where Shmor's HubSpot app is set up, the card also offers a button that approves access on HubSpot's own page. Both connect the same way; the key works without the app.

Disconnecting

Click Disconnect on the HubSpot card in Shmor. Shmor stops writing contacts until you connect a CRM again, and nothing in HubSpot is deleted. To revoke access completely, delete or rotate the service key in HubSpot.1

Common questions

Who can create a HubSpot service key?

HubSpot says Super admins and users with the Developer tools access permission can create and manage service keys.

Can I use a private app token instead?

Yes. A legacy private app token works in the same field, as long as it has the same scopes.

Which properties does Shmor add to HubSpot?

A contact property group called Shmor with three properties: Met via, Met at and Needs info. LinkedIn profiles go into HubSpot's own LinkedIn URL property.

Why did only one of the email addresses on a card get saved?

HubSpot's API does not let apps write a contact's additional email addresses, so Shmor saves the first address in the main email property.
