How to set CRM follow-up tasks from a chat message

By 2 min read

The follow-up is the part of a new contact most likely to be forgotten, and the part that matters most. Shmor creates a follow-up task with every capture, in the same message you use to log the person. This guide shows the ways to set the date, and where the task ends up.

Set your defaults once

In Settings, under Captures:

  • Time zone: due dates and times use it.
  • Default follow-up: the number of days Shmor uses when you do not give a date. It is 3 unless you change it, and can be from 1 to 60.
  • Move follow-ups that land on a weekend to the Monday: on by default.

Option 1: say it in the message

Write the follow-up in your caption, voice note or email, in your own words:

  • "chase next Thursday"
  • "follow up in two weeks about the proposal"
  • "send the deck on Friday"

Shmor reads the date and what the follow-up is about. A date you give explicitly wins over the default. The task text becomes what you said, or "Follow up with" and their name if you only gave a date.

Option 2: tap a button

If you did not say when, Shmor's reply asks Follow up? with four buttons: your default (for example 3 days), 1 week, 2 weeks and No follow-up. After you tap a timeframe, Shmor asks what the follow-up is about. Reply with a few words, such as "send the proposal", or "-" for a plain follow-up.

By email, reply with when and what about, such as "follow up in 5 days about the proposal", or "no follow-up".

Option 3: let the default apply

If you do nothing, the person is marked as needing a follow-up decision until you answer. Send pending (or /pending) to the bot to see everyone still waiting, with the buttons on each.

How the due date is worked out

  1. A date you gave, if it is in the future.
  2. Otherwise, the number of days you chose, or your default.
  3. If that lands on a weekend and the setting is on, the Monday after.

The task is due at 09:00 in your time zone.

Correcting a follow-up

Reply to Shmor's card with the change: "make that the 14th" or "no follow-up". Shmor updates the same person. The first 3 replies about a contact in a billing period do not use a capture.

Common questions

What time is the follow-up task due?

At 09:00 in the time zone set in your Shmor settings, on the due date.

Can I turn off follow-up tasks for one person?

Yes. Tap No follow-up on Shmor's reply, or say "no follow-up" in your message or in a reply to the card.

Will Shmor keep asking about a follow-up?

Only while the person has no open task and you have not decided. In ShmorCRM you can also press Stop asking on the person's page.
